No configuration needed: Convo automatically detects which video platform you're using and begins transcription. You don't need to manually select your platform or connect accounts.

How Convo Connects to Video Platforms

Unlike services that add a bot to your meetings, Convo uses a privacy-first approach:

No Bot Joining

Convo doesn't add a "Convo Bot" or third-party participant to your meetings. All audio capture happens directly on your Mac using macOS system audio capture (ScreenCaptureKit).

Automatic Detection

When you start a meeting in Zoom, Teams, or any supported platform, Convo automatically detects the running application and begins capturing audio from it—no manual setup required.

System-Level Audio Capture

Convo uses macOS's built-in ScreenCaptureKit API to capture audio from your meeting application. This is the same technology macOS uses for screen recording—secure, efficient, and reliable.

Speaker Separation

Convo captures two audio streams: your microphone (labeled "You") and meeting participants (labeled "Participant"). This enables accurate speaker identification in transcripts without requiring integration with the video platform.

Required Permissions

To work with video platforms, Convo needs two macOS permissions:

1. Microphone Permission

Purpose: Capture your voice during meetings

How to grant: Requested automatically during onboarding. If denied, go to System Settings → Privacy & Security → Microphone → Enable for Convo.

2. Screen Recording Permission

Purpose: Capture audio from video platforms (Zoom, Teams, etc.)

How to grant: System Settings → Privacy & Security → Screen Recording → Enable for Convo. You'll need to restart Convo after granting this permission.

Why Screen Recording Permission?

macOS requires Screen Recording permission to capture audio from other applications. This is a system-level security feature—Convo doesn't actually record your screen, only the audio from your meeting apps. No video or screen content is ever captured or stored.

How Meeting Detection Works

Convo uses an intelligent priority system to detect which meeting you're in:

Detection Priority

  1. Frontmost app: If you're actively focused on a meeting app, Convo selects it
  2. Priority list: If multiple meeting apps are running, Convo selects based on priority:
    • Zoom (highest priority)
    • Microsoft Teams
    • Cisco Webex
    • Slack
    • Discord
    • Safari / Chrome (for Google Meet, Whereby)
    • Other supported platforms
  3. Automatic switching: If you switch between platforms mid-meeting, Convo detects the change and updates audio capture

Example: You have Zoom open in the background and switch to a Google Meet call in Chrome. Convo automatically detects Chrome is now in focus and begins capturing audio from the browser instead of Zoom.

Using Convo with Different Platforms

Zoom

Works with all Zoom meeting types: 1-on-1, group meetings, webinars, and breakout rooms.

  • Start meeting in Zoom desktop app
  • Activate Convo (click menu bar icon → Listen button)
  • Transcription begins automatically
  • Action buttons appear in Smart Panel during the call

Microsoft Teams

Compatible with Teams desktop app for meetings, calls, and channel conversations.

  • Convo detects Teams audio automatically
  • Works with both video calls and audio-only calls
  • Supports Teams channels and private meetings

Google Meet (Browser)

Google Meet runs in your browser (Safari or Chrome). Convo captures audio from the browser tab.

  • Join the meeting
  • Convo detects browser audio (works with both Safari and Chrome)
  • Keep the Meet tab active or in focus for best results

Slack Huddles

Huddles work seamlessly in the Slack desktop app.

  • Convo automatically captures Slack audio
  • Works with video-enabled huddles and audio-only

Other Platforms

Webex, Discord, Skype, Around, and Whereby all work the same way—Convo automatically detects when these apps are running a call and captures audio without any configuration.

Privacy and Security

No Bot Visibility

Other participants never see a "Convo Bot" or "Recording Bot" in the meeting. Convo operates entirely on your local machine and doesn't join meetings as a participant.

Local Processing

Audio is processed on your Mac. Transcripts are only sent to the cloud if you explicitly save them or use cloud-based transcription services (optional feature in Professional plan).

No Screen Recording

Despite the permission name, Convo only captures audio—never video, screen content, or visual information from your meetings.

Meeting Consent

You're responsible for informing participants that you're using AI assistance. While Convo doesn't announce itself, many organizations require verbal or written consent for recording/transcription.

Troubleshooting

Convo not detecting my meeting

  • Verify Screen Recording permission is enabled (System Settings → Privacy & Security → Screen Recording)
  • Restart Convo after granting Screen Recording permission
  • Ensure your meeting app is running and the call is active
  • Check that you're using a supported platform (see list above)
  • Try bringing the meeting app to the foreground

Transcription only shows my voice

  • Screen Recording permission likely not granted—check System Settings
  • If permission is enabled, restart Convo and rejoin the meeting
  • Ensure meeting audio is playing through your speakers/headphones (not muted)

Wrong platform detected

  • Bring your active meeting app to the foreground (click it to focus)
  • Close other meeting apps you're not using
  • Convo prioritizes Zoom over other platforms—if Zoom is running, close it if you want to use a different platform

Audio quality issues

  • Check your meeting app's audio settings—ensure high-quality audio is enabled
  • Test your microphone in System Settings → Sound
  • Close unnecessary apps to free up system resources
  • Ensure you're not using Bluetooth headphones (they can add latency)

Convo doesn't work with my platform

If you're using a platform not in the supported list:

  • Contact support at ivan@itsconvo.com with the app name
  • Include the app's bundle ID (found in Activity Monitor → double-click app → Info button)
  • We can often add support in future updates

Permission denied error

  1. Open System Settings (⚙️ in Dock)
  2. Navigate to Privacy & Security → Screen Recording
  3. Enable the checkbox next to Convo
  4. Quit Convo completely (right-click menu bar icon → Quit)
  5. Relaunch Convo from Applications folder
  6. Test by joining a meeting

Tips for Best Results

Do:

  • Grant both Microphone and Screen Recording permissions during setup
  • Keep your meeting app in focus or in the foreground when possible
  • Use wired headphones or built-in speakers for best audio quality
  • Close meeting apps you're not using to avoid confusion
  • Start Convo's "Listen" mode before or at the start of your meeting

Don't:

  • Use Convo without Screen Recording permission (you'll only capture your own voice)
  • Run multiple meetings simultaneously (Convo captures one at a time)
  • Expect Convo to work with phone calls (macOS doesn't expose phone audio to apps)
  • Use extremely old versions of macOS (Convo requires macOS 13.0+ for ScreenCaptureKit)
