Managing conversation history

Convo automatically saves every conversation you record, creating a searchable archive of transcripts, insights, and action items. Learn how to view, search, and manage your conversation history.

Accessing Your Conversations

All recorded conversations are accessible from the Convo dashboard. There are two main ways to view your history:

Home View: Recent Calls

The Home view shows your most recent conversations grouped by date:

  1. Open the Convo dashboard (click the menu bar icon)
  2. Select Home in the left sidebar
  3. Scroll to the "Calls" section below upcoming events
  4. Conversations are grouped as "Today," "Yesterday," or by specific date

All Calls View: Complete History

For a comprehensive view of all your conversations:

  1. Open the Convo dashboard
  2. Click All Calls in the left sidebar
  3. Browse your complete conversation archive

Understanding Conversation Cards

Each conversation appears as a card showing key information:

Title

Auto-generated from the first few words of the conversation. If no transcript exists yet, shows "Untitled Conversation."

Time

The start time of the conversation (e.g., "2:30 PM").

Processing Badge

A badge appears if the AI is still analyzing the conversation. This usually completes within a few minutes after recording stops.

Recording Badge

Active conversations show a red "REC" badge while recording is in progress.

Filtering Conversations

The All Calls view includes two filtering tabs to help you find specific conversations:

All calls

Shows every conversation recorded by Convo, regardless of who organized the meeting

My calls

Shows only conversations from calendar events you organized (requires Google Calendar connection)

How "My calls" works: Convo matches recorded conversations to your Google Calendar events using timestamps (with a 15-minute buffer for late starts). Only events where you're the organizer appear in this tab.

Searching Conversations

Quickly find specific conversations using the search feature:

  1. Navigate to All Calls
  2. Click the search icon (magnifying glass) in the top-right corner
  3. Type keywords, participant names, or topics
  4. Results filter in real-time as you type
  5. Click the X icon to clear the search

What You Can Search

  • Keywords - Any word mentioned in the conversation
  • Participant names - People who were part of the call
  • Topics - Subjects discussed during the meeting
  • Dates - Filter by when the conversation occurred

Sorting Conversations

Use the sort menu to organize your conversation history:

  1. Go to All Calls
  2. Click the filter icon (three horizontal lines) in the top-right corner
  3. Choose your sorting preference:
    • Sort by Date - Most recent first (default)
    • Sort by Duration - Longest or shortest calls first
    • Sort by Title - Alphabetical order

Viewing Conversation Details

Click any conversation to open the detailed view with three tabs:

Overview Tab

The Overview tab provides a high-level summary of the conversation:

  • Key sections - AI-generated summary organized by topics
  • Action items - Tasks and commitments extracted from the discussion
  • Metadata - Date, time, duration, and calendar event link (if connected)
  • Audio playback - (Coming soon) Play the original recording

Transcript Tab

View the complete conversation transcript:

  • Full text - Every word said during the conversation
  • Speaker labels - Shows who said what (when multiple people detected)
  • Timestamps - Time markers for each segment
  • Copy function - Copy the entire transcript or specific sections

Feedback Tab

Get AI-powered coaching and analysis:

  • Performance feedback - AI evaluation of your communication
  • Improvement suggestions - Tips for future conversations
  • Regenerate - Request new feedback if needed

Managing Conversations

Asking Questions About a Conversation

Use the "Ask about this session" feature at the bottom of any conversation detail view:

  1. Open a conversation
  2. Find the search bar at the bottom labeled "Ask about this session..."
  3. Type your question (e.g., "What were the main takeaways?")
  4. Press Enter to get an AI-generated answer based on the conversation

Deleting Conversations

To remove a conversation from your history:

  1. Open the conversation detail view
  2. Click the delete button (trash icon) in the top-right corner
  3. Confirm deletion when prompted
  4. The conversation is permanently removed from your account

Warning: Deletion is permanent and cannot be undone. Make sure you've saved any important information before deleting a conversation.

Exporting Conversation Data

To share or save conversation information:

  • Open the conversation detail view
  • Navigate to the Transcript tab
  • Click the copy icon to copy the full transcript
  • Paste into your preferred document or note-taking app

You can also use the "Email Draft" button (coming soon) to generate a summary email with key points and action items.

Conversation Storage & Privacy

Understanding how Convo stores and protects your conversation data:

Automatic Saving

Every conversation is automatically saved to your account when you stop recording. No manual save action required.

Cloud Storage

Conversations are stored securely in the cloud, encrypted at rest. Access your history from any device by signing in to your account.

Automatic Cleanup on Sign Out

When you sign out or your session expires, cached conversation data is automatically cleared from your local device for security.

Retention

Conversations remain in your account indefinitely unless you manually delete them. There are no automatic deletion policies.

Best Practices

Do:

  • Review conversations shortly after recording while details are fresh
  • Use search to quickly find specific discussions or decisions
  • Export important transcripts or action items for your records
  • Delete test recordings or conversations with no useful content
  • Connect Google Calendar to enable "My calls" filtering

Don't:

  • Rely solely on Convo for critical records—export important conversations
  • Share sensitive conversation details without proper authorization
  • Delete conversations impulsively—deletion is permanent
  • Forget to review action items extracted from conversations

Troubleshooting

Conversation not appearing in history

  • Wait a few minutes—conversations may take time to sync
  • Check that you stopped recording (no REC badge in menu bar)
  • Verify you're signed in to the same account
  • Refresh the dashboard (sign out and back in)
  • Very short recordings (under 30 seconds) may not be saved

Can't find a specific conversation

Use the search feature with different keywords:

  • Try searching by participant names or topics discussed
  • Check both "All calls" and "My calls" tabs
  • Change the sort order to browse by date or duration
  • Ensure the conversation wasn't accidentally deleted

"My calls" tab is empty

The "My calls" filter requires Google Calendar connection. Go to Settings → My Account and connect your calendar. Also ensure you're the organizer of calendar events you want to appear in this tab.

Transcript is incomplete or incorrect

Transcription accuracy depends on audio quality. For best results, use a good microphone, minimize background noise, and speak clearly. If issues persist, check your system audio settings and microphone permissions.
